Terms of Service
These terms are the agreement between you and KUCIAP, the Kenya University and College Attachment Portal. They explain what you may do on the platform, the rules you must comply with, and how we protect your personal data under the Data Protection Act, 2019.
1. Accepting these terms
By creating an account, browsing opportunities, publishing a listing or otherwise using KUCIAP, you agree to these Terms of Service and to our Privacy Policy. If you do not agree, please do not use the platform.
When you tick “I agree to the Terms of Service and Privacy Policy” during registration, you confirm that you have read, understood and accepted both documents.
2. Who we are
KUCIAP (“we”, “us”, “our”) operates an online portal that connects university and college students in Kenya with approved organizations offering industrial attachment and internship opportunities. We are the data controller for the personal data described in our Privacy Policy, as that term is used in the Data Protection Act, 2019.
KUCIAP is a platform, not an employer and not an attachment placement agency. We do not decide who is selected for an attachment. Selection, terms of engagement and any stipend are agreed between the student and the organization.
3. Accounts and eligibility
KUCIAP offers three kinds of account:
- Student accounts for learners at a recognised Kenyan university, college or TVET institution seeking an attachment.
- Organization accounts for employers, companies, NGOs and public bodies that offer attachment opportunities.
- Administrator accounts used by KUCIAP staff to review organizations and moderate the platform.
Your responsibilities
- You must give accurate, current and complete information, and keep it up to date.
- You must keep your password confidential. You are responsible for activity carried out under your account.
- You must tell us immediately if you believe your account has been accessed without your permission.
- You may hold one account of each type. You may not create accounts to evade a suspension or to mislead other users.
Organization accounts are reviewed before their listings go live. We may ask for evidence that an organization is genuine and may decline or revoke approval.
4. Rules for students
When you use KUCIAP as a student, you agree to:
- Provide truthful information about your identity, institution, course, year of study and location.
- Upload only your own documents — your CV, certificates and academic records — and only where you have the right to share them.
- Apply only for attachments you genuinely intend to take up, and respond honestly to organizations.
- Treat organizations and their staff with respect in applications and messages.
- Attend interviews or accept placements in good faith, and give prompt notice if your plans change.
- Never offer or accept payment to influence selection for an attachment.
Browsing opportunities and applying for attachments is free for students. No organization on KUCIAP is permitted to charge you a fee to apply for, or to be selected for, an attachment. If anyone asks you for such a payment, report it to us at info@kuciap.ink.
5. Rules for organizations
When you use KUCIAP as an organization, you agree to:
- Publish only genuine attachment opportunities that your organization actually intends to offer.
- Describe each opportunity accurately, including duties, location, duration, qualifications and whether a stipend is paid.
- Keep listings current, and close or update a listing once it is filled or withdrawn.
- Review applications fairly, without discrimination on grounds prohibited by Article 27 of the Constitution of Kenya, including race, sex, pregnancy, marital status, health status, ethnic or social origin, colour, age, disability, religion, conscience, belief, culture or language.
- Use student data received through KUCIAP only to assess that student's application for the attachment concerned.
- Comply with all applicable Kenyan law, including the Employment Act, 2007, the Occupational Safety and Health Act, 2007 and the Data Protection Act, 2019.
- Never charge a student a fee to apply for, or to be selected for, an attachment.
As an organization you are a separate data controller for any student data you receive through KUCIAP. You must protect that data, use it only for recruitment, and delete it when the recruitment is complete or when the student asks you to.
6. Prohibited conduct
You must not, and must not allow anyone else to:
- Post false, misleading, defamatory, obscene or unlawful content.
- Post a listing that is not a genuine attachment or internship opportunity, including pyramid schemes, get-rich-quick offers or unpaid commission-only sales roles.
- Harass, threaten, discriminate against or impersonate any person or organization.
- Collect student data for marketing, resale or any purpose unrelated to the attachment applied for.
- Scrape, harvest or bulk-copy content or personal data from the platform.
- Introduce viruses, malware or any code intended to disrupt the platform.
- Attempt to gain unauthorised access to any account, server or database.
- Interfere with the security, availability or integrity of the platform.
- Use the platform to break any Kenyan law or to infringe anyone's rights.
We may investigate suspected breaches, remove content, suspend accounts and report conduct to the National Police Service or the Office of the Data Protection Commissioner where the law requires or permits it.
7. Content and intellectual property
The KUCIAP name, logo, design and platform code belong to us or our licensors. You may not copy or reuse them without our written permission.
You keep ownership of the content you upload — your CV, your profile text, your listing descriptions. By uploading content you grant us a non-exclusive, royalty-free licence to host, store, reproduce and display that content only as needed to run the platform and to show your profile or listing to the users you expect to see it.
You are responsible for the content you upload, and you confirm you have the right to upload it.
8. Personal data and your privacy rights
We process personal data in line with the Data Protection Act, 2019, the Constitution of Kenya and our Privacy Policy. That policy explains what we collect, why we collect it, who we share it with, how long we keep it and how we keep it safe.
As a data subject you have the right to be informed, to access your data, to correct it, to have it deleted, to object to or restrict processing, to data portability and to withdraw consent at any time. You also have the right to complain to the Office of the Data Protection Commissioner (ODPC). The full list and how to exercise each right is set out in our Privacy Policy.
You must not upload another person's personal data without a lawful basis to do so.
9. Paid services
Creating an account and applying for attachments is free for students. KUCIAP may offer optional paid services, such as a premium student plan that unlocks additional opportunities and tools. Where a service is paid:
- The price and what it includes are shown before you pay.
- Payments are processed through our mobile-money provider; we do not store your M-PESA PIN or full payment credentials.
- Unless required by law, fees already paid for a service period are not refundable once the service has been used.
- A paid plan never guarantees an attachment placement. Selection is always the organization's decision.
10. Availability and third-party links
We aim to keep KUCIAP available, but we do not guarantee uninterrupted or error-free service. We may suspend access for maintenance, upgrades or security work.
The platform may link to third-party sites and tools. We are not responsible for their content, terms or privacy practices.
11. Disclaimers and liability
KUCIAP lists opportunities published by organizations and reviews organizations before their listings go live, but we do not control and do not guarantee the accuracy of a listing, the conduct of any organization, or the outcome of any application. You are responsible for your own decisions, and you should verify the details of any attachment directly with the organization.
To the fullest extent permitted by Kenyan law, KUCIAP is not liable for indirect or consequential loss, loss of opportunity, or loss arising from your dealings with another user. Nothing in these terms limits any liability that cannot lawfully be limited.
12. Suspension and termination
You may stop using KUCIAP and delete your account at any time from your profile settings, or by writing to us.
We may suspend or terminate an account, or remove a listing, if we reasonably believe these terms have been broken, if the law requires it, or to protect other users. Where it is appropriate, we will tell you why.
13. Changes to these terms
We may update these terms as the platform or the law changes. When we make a material change we will update the “Last updated” date above and, where appropriate, notify you by email or in the platform. Continuing to use KUCIAP after a change means you accept the updated terms.
14. Governing law and disputes
These terms are governed by the laws of the Republic of Kenya. We ask that you contact us first so we can try to resolve any dispute informally. If that fails, the courts of Kenya have exclusive jurisdiction.
15. How to contact us
For any question about these terms, or to report a breach:
- Email: info@kuciap.ink
- Contact page: kuciap.ink/contact
For complaints about how we handle personal data, you may also contact the Office of the Data Protection Commissioner, Kenya.
